Responsibilities:
- Prepare and submit accurate medical records requests to hospitals, clinics, and other healthcare facilities on behalf of U.S. law firms.
- Utilize various Release of Information (ROI) portals (ChartSwap, MRO, CIOX, Sharecare, etc.) to submit requests and track progress.
- Upload and fax authorizations as required for record retrieval.
- Proactively follow up with facilities via phone, email, and ROI portals to expedite the retrieval process.
- Professionally address and navigate pushback from facilities, escalating issues as necessary.
- Maintain detailed and accurate records of all retrieval activities in case management systems, ensuring clear communication and tracking.
- Review received medical records for completeness, accuracy, and relevance to the case, organizing them for review by legal teams.
- Adhere strictly to HIPAA regulations and maintain data security protocols at all times, ensuring the confidentiality of patient information.
- Manage a high volume of active requests (100+), prioritizing effectively to meet deadlines.
- Stay up-to-date with industry best practices and changes in HIPAA regulations.
- Participate in ongoing training and development programs to enhance skills and knowledge.
Qualifications and Requirements:
- Minimum of 2 years of hands-on experience in medical records retrieval, ideally with experience supporting law firms or mass tort cases.
- Expert knowledge of various ROI platforms, including but not limited to ChartSwap, MRO, CIOX, Sharecare, and HealthPort.
- Exceptional English communication skills, both written and verbal, with the ability to communicate confidently and professionally on phone calls.
- Strong organizational and time management skills with the proven ability to manage a high volume of requests simultaneously.
- Proficiency in Google Sheets/Excel, case management tools, and document tracking systems.
- Must possess a dedicated high-speed internet connection (20 Mbps or higher), a noise-canceling headset, a fast computer, and a reliable power backup system to ensure uninterrupted work.
- Ability to work full-time U.S. business hours (EST or PST) without any scheduling conflicts.
- Must be able to dedicate full time and focus to this job.
- Due to strict HIPAA regulations, subcontracting is not permitted.
- Must have home office that is quiet, dedicated workspace free from distractions.
